Ten Steps to a Happy Computer
Be careful opening ALL attachments delivered through email
This regularly catches out clients of mine. If you receive an email with an attachment you must be careful to investigate it before you open the attachment. The most common of today's viruses are transmitted through email. These viruses look through the address books of their infected hosts, select a random subject heading and send as many infected emails as possible to those addresses. Therefore you can see that a virus may be received from a friend, showing that it is prudent to investigate all emails that you receive before opening them.
NOTE: Microsoft does not send emails to its users with files for updates attached. Do not be fooled by this. Only update your system from the Microsoft website.
Update your virus software regularly
You must have virus software. If you don't then you should purchase it. It will save you time and money in the long run. The software that we use the most frequently is Norton Antivirus. We have found this software to be perfect for both home and corporate users although the corporate edition is best for a larger number of computers.
Once you have antivirus software installed you must update it on a regular basis. Virus writers are prolific and new viruses appear all of the time. Antivirus software works because it can recognise the specific virus and can remove it. Without regular updates to your virus software, it is basically useless. Most virus software allows you to set updates to occur automatically. This is more useful if you have a broadband connection which is 'always on'. Those with a standard telephone connection should update once a week.
Update your operating system
Keeping you operating system updated and in good shape is important. Hackers find new exploits in operating systems all of the time most of the time their findings are reported to operating system makers who release a patch to fix it. These patches must be downloaded by you to update you system. The process can be quite lengthy if you only have a normal telephone connection to the internet but it is worth it. For Microsoft Windows systems, the best place to update your system is by pointing your web browser at: windowsupdate.microsoft.com/
Remove programs that you do not use
Most of us install and try out programs all of the time. We download from the web, install from friends and from CDs on magazines. This has the effect that we have lots of installed software on our machines that we never use. Regular removal of unwanted programs will improve your system performance and save disk space.
Stop spam
Spam (unsolicited email) is a common problem for a lot of users. Spam comes from people and companies who are advertising their products and services. Many products exist to block unwanted email; however there are a number of things that you can do to stop people getting hold of your email address:
- Pick an uncommon email address - Some email lists simply guess a name i.e. joe.bloggs@someplace.com. This email address is being protected from spam bots, you need Javascript enabled to view it If you have a common name, the simple thing to do is to change your email address so that it cannot be guessed easily.
- Get a bogus address from hotmail - Sign up for an email address with hotmail.com. Use this address whenever you are asked to register with a website that you are unsure of. Some of these websites sell their email listings to spammers, so if you register you will get plenty of spam. We have used this method effectively for nearly seven years with only a small amount of spam getting through.
- Use spam blocking software - Spam blockers allow you block incoming mail from people who are not in your address book or from known spammers. These can be good however you must be aware that sometimes email from people you do know will get blocked.
Spybot Search and Destroy
It can be downloaded to remove all spyware and adware from your machine. Spyware is a type of software that monitors which sites you are browsing on the internet and sends this information to a central store. This is then used for marketing purposes. Adware is software that contains invasive advertising which makes adverts pop up as you are browsing the internet. The software is usually clever enough to pop up an advert that matches the subject of the web page that you are reading. Both spyware and adware are invasive software that impinges on your personal privacy. The removal software allows you to get rid of this invasion.
Save files in standard places such as 'My Documents'
If you save all of your documents in the same place then you will know how to find them again. Doing this also allows you to move your files easily.
Save your files often and make backups
Lost files are a common problem. Most people blame the computer, however if you save your files often then there is usually no data lost if the computer crashes. Hard disks crash very rarely but making regular backups of data that you can't afford to loose is important. You don't have to backup everything, just those most important files.
Make your passwords bigger
A long password makes it many times more difficult to crack. The longer the password the more difficult it is. Choose a small sentence as a password, change some of the letters to numbers and replace some of the spaces with punctuation characters, this will make your password almost impossible to crack or guess.
Shutdown Gracefully
All recent operating systems provide a way of shutting down your computer. When shutting down gracefully the computer will save any changed settings, reset anything that needs resetting and sometimes repair broken programs. Turning off power to your system while it is still running can be a disaster. Give your system the time it needs before you pull the plug. Better still, leave your computer running. If you have a broadband internet connection you can set your computer to download updates to the operating system and virus definitions overnight so that your computing fun is not disturbed by these operations.

The Perfect Business Plan
Having a great idea in theory, and being able to pull it off in practice are two wildly different things. It's very easy to start a business that you think will work, but to avoid making big mistakes one of the best things you can do is to write a business plan. If you are able to write a plan of action about your idea or business, then it is probably worth your time. Below are some key steps to follow when writing your business plan:
1. Concentrate On Clarity. Your business plan is not the place to insert massive amounts of technical jargon, the best way forward is to concentrate on presenting your ideas clearly so that almost anybody could pick up your business plan and understand it.
2. Understand Your Audience. How you write your business plan depends a lot on who you think will be reading it. If you are looking for investment, you have to ensure that you are to the point and at the same time you need to include as much relevant information as possible.
3. Ask For Advice. There are many people you can ask for advice, including small business advisors, but you can ask just about anyone you know for their views on your business plan. Getting a second opinion is often a good idea before you start planning your business's future.
4. Address Possible Issues. There are always going to be problems when starting your own business, unfortunately unless you have solutions to these problems you will probably not succeed. If you are able to work out solutions to your problems in the business plan, the idea could well be successful.
5. Give Numerical Information. By giving specific figures about your business, it will be much easier for possible investors to understand how the business will scale. Information you should include ranges from start-up costs, to number of employees.

If you can lay out a plan for tenfold growth of your business, then it is going to be a much more attractive business model than if you could only plan for twofold growth. By laying foundations which lend themselves to scaling the business, you will receive much more interest from investors and will understand how the future of your business could unfold.
A business plan is a reasonably easy document to write, since it takes very little skill to write a strategy behind a business. However, there is skill in justifying your idea and ensuring you have a strong foundation for your business, by writing a solid business plan you can ensure your idea not only works, but has a future.
When Strategies Are Not Strategic
Modern business planning owes it origins to two very different parents.
The first is the obligation to prepare a "Prospectus" when floating a company, outlining the "prospects" of the new venture. Although an early prospectus has little in common with a modern business plan, it might well have contained elements that might find their way into such a plan - a statement of purpose, a "vision" of where the new company intends to be in a few years, an analysis of opportunities and threats, and so on.
A prospectus is primarily a legal and financial document, but it is also a marketing tool to sell the new company to investors. What it is not is a strategy.
The second major influence on business planning is military planning. Many of the early pioneers of business planning were professional soldiers or naval officers who were retired or who found themselves surplus to requirements between wars. They brought the techniques they had learned in the services into the world of commerce.
There is a saying to the effect that "When amateurs talk about war, they talk about strategy; when professionals talk about war, they talk about logistics."
There is much truth in that. The key to winning wars is less actual fighting than being able to move men and material at short notice and under pressure to the place where they are most needed. The army that does this most effectively will usually win the fighting.
Since professional soldiers devote a great deal of their time and thought to this, they tend to get good at it. Experience has taught them a few simple techniques that are usually very effective in practice. Although there are many famous logistical failures, they are famous because they are exceptional. This is the military efficiency that proved so useful in the private sector.
However, the downside of professional soldiers being good at logistics because they talk about the subject more than strategy is that they are not so good at strategy.
Career soldiers are not necessarily expert strategists. The skills that make them good at logistical detail rarely come with a view of the bigger picture. Experienced commanders have often made elementary strategic errors that even a well-informed amateur would have foreseen and avoided. Whatever one's view of the policies of the West in Iraq and Afghanistan, no one can deny that the implementation of those policies has been full of avoidable strategic errors.
Many of the fine military minds that influenced the development of business planning were characterised by the same combination of logistical skill and strategic blindness.
Here then is the great gap between the two sources of business planning: neither was particularly interested in actual strategy.
Those who could draft a good prospectus might be able to conjure up an enticing picture of how things could be, and those in the military tradition could deal with the nuts and bolts of running a business, but the problem of turning the pretty picture into the nuts and bolts was never addressed.
There were plans and plans but no real strategy.
This original problem has never quite been resolved. One sees it reflected in too many business plans today. They are big on the broad vision and sound on the operational details, but have no strategy to turn one into the other - which, one would have thought, was the whole point of a business plan in the first place!

Okay. Let's say you just closed the killer deal of the decade. You're a real estate agent and times have been tough. You waited long for this latest commission sale. Just before the house closes, you take one last walk through with the previous owner who tells you the toilet overflowed last week and flooded the bathroom for over three hours. What would you do?
Or, you're a new salesperson for a consumer electronics store with a limited knowledge of the items on sale in your department. You work on commission and so far you haven't made any sales. Finally, a customer approaches you about a very expensive, big ticket item. He asks you if the item has a certain feature and that it is a deal breaker. You think that it must and answer yes. As he walks to the cashier, you find out that that particular model does not have the customer's desired feature. What will you do?
In this day and age of situational ethics, it is easy to justify telling small mistruths. But, when the home buyer finds out he has dry rot underneath his upstairs bathroom or the customer at the electronics store finds out that the big ticket item does not have the deal breaker feature, what will he think of your company and what will he think of you? What will your supervisor think of you?
Moral excellence is your best life exemplified. You become the best you when telling the truth is more important than making a sale. When you tell the truth clients will respect you and trust you. When you start telling little white lies to get ahead, you're bound to find yourself without a future.
